Event Co-Chair
Oversee all of the event volunteers to produce an incredible residential learning experience
In collaboration with the other event co-chair/s, you will
- Manage the overall project plan and the volunteers in the Festival team
- Represent the organisation and the event to participants, presenters and external stakeholders
- Facilitate team meetings and training days
- Delegate responsibilities to volunteer team leads
- Liaise with Limmud Executive and Office Staff, and provide regular progress updates to the Limmud Executive
Accommodation
Liaising with our hotels, ensuring that every participant has a place to stay
- Process accommodation requests
- Assign room allocations with consideration for accommodation requests and attendance
- Liase with sites RE room allocations, types and requirements, extensions and changes both before and during the event
- Busiest from September to December
- Often combined with registration and transport roles
Catering
Coordinating with our caterers and catering volunteers to manage meal times during the week
- Liase with caterer to develop menu and ensure all dietary requirements are accommodated
- Consider new ideas / creative dining formats (e.g. themed meals)
- Process dietary requirements from application form information
- Manage multiple dining rooms (including family dining), coordinating a large team of catering volunteers during the event
- Busiest from September to December
Programming
Develop and deliver our programme of learning, entertainment, workshops and social programming
- Work closely with MarComms, Families, YTL, Shabbat and office teams
- Invite presenters as well as evaluate and approve self-invites
- Allocate sessions to rooms
- Busiest from April to November
- Sub-teams: Programming track chairs
- Manage and supervise presenter helpdesk during the event
Volunteers
Supporting and coordinating the hundreds of people volunteer during Festival
- Process volunteer requests from team and preferences from participants
- Allocate volunteers to roles
- Facilitate volunteering during the event
- Provide training to volunteers, support volunteers during the event and organise post-event volunteer thank you event
- Busiest from September to December
Young & Teen Limmud (YTL)
Develop and deliver programme for Young and Teen Limmud programme (for school aged children)
- Recruit and train leaders for the YTL programme
- Work closely with programming, catering, resources, volunteers, registration, families, site and office teams
- Busiest from August to December
Marketing
Develop and deliver campaign to raise awareness of the event and increase bookings
- Develop campaign across social media, press, emails, promotional materials
- Develop and deliver campaign to raise awareness of the event – social media, press, emails, promotional materials
- Provide daily updates to changes in the event to participants during the event
- Ensure marketing activities take place during the event to raise awareness of goings on
- Develop and deliver event handbook with designer
- Work closely with programming, YTL, Families, volunteers, participant care and office teams
- Busiest from launch (typically July/August) to December
- Sub-teams: photographers, social media, press liaison, programming updates/support
- Role continues for a short period after the event to do post-event marketing
Participant Care
Limmud Festival offers something for everyone – this critical role ensures that our event is an accessible, welcoming and safe space for all
- Review participant needs from applications forms, and discuss with participants where necessary, to ensure the event is accessible to all participants
- Staff and oversee participant helpdesk volunteers during the event
- Work closely with support roles during the event e.g. health and security teams
- Manage and respond to participant needs and requests during the event
- Work closely with catering, programming, accommodation, registration, site and office teams
- Busiest from September to December
- Sub-teams: inclusion, buddying
Shabbat
Develop and deliver shabbat at Festival including programme and communal activities
- Ensure space available for all denominations of the community have space to conduct services, and space dedicated to facilitate chanukiah lighting
- Work closely with catering, programming, site, YTL, families, resources, volunteers and office teams
- Busiest from July to December
- Sub-teams: programming, families
Families
Develop and deliver programme for pre-school children and their families
- Recruit and train volunteers to deliver baby listening and night club services
- Recruit and liaise with nursery staff
- Work closely with catering, programming, site, YTL, resources, volunteers and office teams
- Busiest from July to December
- Sub-teams: baby listening coordinator, night club coordinator, volunteers coordinator, accommodation coordinator
Registration
Develop and deliver registration form and arrival registration process including registration packs and badges
- Oversee and train registration volunteers
- Work closely with volunteers, site, transport, and office teams
- Busiest from September to December
- Often combined with accommodation and transport
Transport
Develop and deliver transport options to, from and during the event
- Liaise with transport provider ahead of and throughout the event
- Work closely with registration, site, and office teams
- Busiest from October to December
- Often combined with accommodation and registration
Resources
Source resources for sessions as requested by presenters and teams
- Ensuring resources are in the necessary locations as needed
- Oversee and train resource volunteers
- Ensure rooms are set up as required for sessions including chairs and technology
- Work closely with programming, YTL, Families, volunteers, technology and office teams
- Busiest from October to December
- Often combined with technology

Site
Coordinating with our hotels to ensure our physical spaces are ready to accommodate our programme and our people
- Liaise with site representatives to finalise contract arrangements, utilisation of the site(s) and ensure contract arrangements are met during the event
- Often work closely with security provider
- Work closely with accommodation, programming, catering, Shabbat, families, YTL, transport and office teams
- Busiest from January to April and August to December
- Role continues for a short time after the event to reconcile issues

Finance
Develop and manage the budget for Limmud Festival 2022
- Develop event budget in partnership with Chairs including pricing model
- Manage budget and spending during the year
- Work closely with other teams and office team
- Busiest from April to June and October to December
- Role continues for a short time after the event to reconcile spending
Commerce
Managing our bar, coffee shop, bookshop, marketplace (shuk), food stalls and merchandise
- Develop, deliver and oversee bar, coffee shop, bookshop, shuk, late night food, and merchandise offer and volunteers
- Explore new opportunities for commerce activity before, during and after Festival
- Work closely with site, registration, finance, marcomms, volunteers, catering and office teams
- Busiest from August to December
- Sub-teams: Coffee Shop manager, Bookshop coordinator, Shuk coordinator, Bar manager
Technology
Develop and deliver technology requirements at Festival, ensuring technology at Festival is fit for purpose and volunteers are trained to support presenters as required
- Explore, develop and deliver hybrid offer during Festival
- Work closely with technology provider(s) to ensure service provided is fit for purpose
- Work closely with programming, site, participant care, volunteers and office teams
- Busiest from June to December
